AI Policy and Procedure for Learners

Purpose of AI Use

  • Educational Enhancement: AI is a tool to support learning, not a replacement for personal effort and understanding.
  • Ethical Use: This policy promotes ethical, honest, and transparent use of AI in all activities to foster trust and respect in the academic community.
  1. Acceptable Uses of AI
  • Research Assistance: Students may use AI to gather information, generate ideas, and analyse data for assignments or personal learning. However, AI-generated material must be verified and cited if used directly.
  • Skill Building: AI tools for language improvement, coding, critical thinking, or study planning are encouraged to help students refine their skills.
  • Accessibility and Support: Students may use AI for accessibility features, such as text-to-speech, translations, and other tools that aid learning for all abilities.
  • Educational Feedback: AI can be used for personalized feedback on assignments, practice tests, and quizzes, but it is not a substitute for teacher feedback.
  1. Prohibited Uses of AI
  • Academic Dishonesty: Plagiarism, cheating, or submitting AI-generated work as one’s own is strictly prohibited. All submitted work must reflect the student’s original thoughts and efforts.
  • Inappropriate Content Generation: Using AI to create offensive, harmful, or misleading content goes against ToveLeeds values and is strictly forbidden.
  • Unauthorized Use of Private Data: Students are prohibited from inputting or generating personally identifiable information (PII) or sensitive data about themselves or others in AI tools.
  1. Procedure for Responsible AI Use
  • Acknowledge AI Assistance: If AI tools have contributed to any submitted work, students must disclose this by including an “AI Assistance” acknowledgement note. This transparency builds trust and clarifies the student’s own contributions.
  • Verification of AI-Generated Information: Students should verify AI-generated data with credible sources before using it in assignments or presentations to ensure accuracy.
  • Citing AI Outputs: If AI-generated text or data is directly quoted or closely paraphrased, students must cite it according to academic citation standards (e.g., “[AI Tool Name], generated on [Date]”).
  • Review by Educators: Teachers and staff may periodically review students’ AI usage to ensure compliance with this policy. Misuse of AI may lead to disciplinary actions, aligned with ToveLeeds’ code of conduct.
  1. Privacy and Data Security
  • Data Anonymity: Students should avoid entering personal or sensitive information into AI systems.
  • Confidentiality in Assignments: Students are encouraged to handle their AI-generated academic materials with integrity and should not share or distribute the work of peers obtained through AI.
  1. Violations and Disciplinary Actions
  • Academic Integrity Violations: If a student is found using AI in violation of the above guidelines (e.g., submitting AI-generated work as their own), disciplinary actions may include redoing the assignment, grade penalties, or further measures consistent with ToveLeeds’ integrity policies.
  • Escalation Process: Repeat offences or severe misuse will be escalated to the centre’s administration, who will determine appropriate further actions, including possible suspensions from AI tool access within the centre.
  1. Support and Training for AI Use
  • Teacher Guidance: Educators are available to assist students in understanding how to use AI tools responsibly and to answer questions related to AI’s impact on learning and privacy.
